BE IT RESOLVED, that Agreement PR00006921 with Hallett & Sons Expert Movers, Inc. to provide Library Collection and Shelving Moving and Relocation services at Hennepin County sites, during the period of January 1, 2025 through December 31, 2029, in the not to exceed amount of $623,508 be approved; that the Chair of the Board be authorized to sign the Agreement on behalf of the county, and that the Controller be authorized to disburse funds as directed.

Background:
The Hennepin County Library contracts for moving significant collections and shelving from libraries that are undergoing reconstruction. Based on the identified need for a collection mover to relocate collections and shelving from the Southdale and Brookdale Libraries to a designated storage facility and return these collections and shelving when the rebuilt and renovated library buildings are completed, Hennepin County published the RFP for relocation of library collections and shelving for these two libraries. Due to the size of these two collections, an expert moving service well versed in Library Collection moves able to handle the size, complexity and timing required in moving these collections and shelving out of these libraries (and returning them following completion of the building projects) is required. The evaluation panel thoroughly reviewed all proposals and unanimously identified Hallett & Sons Expert Movers, Inc. as the winning proposal.
Southdale Library will be closing and undergo demolition in early 2025. Completion of the new Southdale Library is expected in summer of 2027. The Southdale collection contains approximately 179,000 outgoing library items that will be moved out in addition to supporting shelving, and it is anticipated that this collection will be slightly reduced over the time span while the new building is constructed and that approximately 165,000 library collection items will return to the new Southdale Library.
Brookdale Library will undergo renovation from approximately July 2027 through November 2028. The Brookdale collection contains approximately 108,000 outgoing library items that will be moved out in addition to supporting shelving, and it is anticipated that this collection will be slightly increased over the time span while Brookdale is renovated and that approximately 125,000 library collection items will return to the new Brookdale Library.
